Job Summary

The Operations Coordinator is directly responsible for ensuring we consistently meet our customers’ needs and exceed their expectations. They own the orders fulfillment process from start to finish. This requires collaborating with other departments within the company, as well as our external partners, to make sure our products are delivered on time and in full. There are many responsibilities involved, including: Logistics scheduling, Customer service, ERP system management, Process development, Coordination with our various manufacturing partners, and much more. Our business depends on making our customers successful, and this role is a key driver of executing on that every day.

The ideal candidate is detail oriented, driven, self-directed, exhibits leadership qualities and great at working as a key member of a team. The ability to multi-task while maintaining clear, positive communication (internally and externally) and adapting/contributing to an ever-evolving start-up environment, is essential in this position.

  • Manage our order processing system (within our ERP system– Enterprise Resource Planning, software)
    • Onboard new customers and ensure proper setup within our ERP system in collaboration with our Data Department
    • Receive, verify, enter, & confirm Purchase Orders from customers
    • Involves verifying available inventory levels to fulfill orders and collaborating with the Operations Manager to maintain sufficient inventory to meet demand.
    • Schedule logistics (transportation) for orders to be delivered to customers and for transfers to our other locations.
    • Manage shipments and ensure all BOLs are received from various warehouses.
    • Issue invoices to customers in a timely manner in collaboration with the Finance Department.
    • Run any necessary reports for movement, availability, inventory, and sales needs
    • Collaborate with Operations Manager and EVP on Supply Chain management
  • **Manage and execute our Sampling product program **
    • Enter sample requests from key leadership members for processing.
    • Fill samples as needed and ship to prospective customers and other interested parties. 
    • Track sample shipments and send relevant tracking information to the appropriate parties (sender and/or receiver)
    • Manage sample stock inventory
    • Track inventory levels 
    • Ensure samples are removed from locations/ERP weekly
    • Reorder as needed
    • Product and Supplies (Ice, Liners, Boxes, Etc.)
  • Provide Top-Tier Customer service
    • Answer the orders & logistics phone line and field general digital inquiries, as needed
    • Respond to questions and requests for information
    • Communicate clearly and optimistically to current and prospective customers on the phone, in person, and through email. 
  • Perform other duties as a collaborative team member of a dynamic, cross-functional startup team, as needed.

Qualifications & Skills

  • Bachelor’s degree or other post-high school education
  • Experience with ERP Systems. Preferably SOS Inventory for current model.
  • General technical knowledge & proficiency w/ability to learn new systems quickly
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
  • Ability to analyze and revise operating practices to improve efficiency
  • Detail oriented and comfortable working in a fast-paced office environment
  • Exceptional communication skills
  • Superior organization skills and dedication to completing projects in a timely manner

Compensation & Perks

  • Starting Salary $40-45k DOE. 
  • Opportunity for a raise and benefits after 90 days and periodically thereafter.
